Job Description
The Head of Operations and Governance is a key member of the Senior Leadership Team, with responsibility for managing all internal processes and systems to ensure delivery of Table Tennis England’s strategy. In particular, the job holder is responsible for all matters relating to governance, ethics and integrity, human resources, policies, regulations and standards, procurement, legal matters, data protection and office/corporate administration.

KEY RESPONSIBILITIES
Operations and Governance
• Responsible for the operational delivery and budgeting for business operations
• Develop, manage and monitor risk management policies, procedures and register
• Input into the creation and dissemination of the annual operations plan
• Act as governance lead, reporting to Sport England on compliance with the Code for Sport Governance and recommending any changes to ensure compliance
• Act as Secretary to the Governance and Risk Committee (Board sub group) and other ad hoc committees from time to time
• Liaise with Rules Committee to update regulations and policies as appropriate
• Responsible for maintaining an update register of policies, procedures and terms of reference and recommending changes as appropriate
• Act as main point of contact for complaints and manage the complaints resolution process
• Act as Data Protection Officer and ensure best practice on all data protection matters
• Assist the CEO, and working with the Executive Assistant, to provide operational support to the Board, Members Advisory Group and National Council
• Annual General Meeting and Annual Conference planning
• Manage the procurement process for external suppliers, both of corporate services and table tennis equipment suppliers (in conjunction with colleagues)
• Lead on Sport England reporting requirements, working with other members of SLT
• Work very closely with the Finance and IT Manager on finance and IT systems and CRM projects
• Support CEO with authorised finance signatory responsibilities
Ethics and Integrity
• Manage and work closely with the Safeguarding and Ethics Manager, developing best practice in safeguarding, welfare and other integrity matters
• Acting as point of contact for the Gambling Commission
• Acting as Secretary to the Disciplinary Committee and the Board of Appeal
• Ensure highest possibly standards of ethics and integrity through the organisation and the sport
Office Administration, HR and Customer Services
• Manage the customer services team through the Customer Services Manager (or similar), supporting the culture of providing excellent customer service
• Lead contact with landlords and ancillary service providers
• Ensure sufficient number of trained First Aiders, Fire Wardens, Health and Safety Officers and Mental Health Champions
• Working with SLT to manage a talent management strategy to develop and retain a healthy effective and engaged workforce including feedback and appraisal process. Champion for creating a healthy workplace culture
• Responsible for HR matters, working with Executive Assistant and Finance and IT Manager on day to day HR including recruitment, inductions and exits. Liaise with retained HR consultant as necessary
• Working with the Executive Assistant, ensure suitable exit interview process and reporting of outcomes
• Establish and monitor employment policies ensuring best practice and compliance with all legal requirements

Other
• Manage internal and external insight resources and third party providers to help the organisation use insight to support delivery of its strategy
• Support the CEO in stakeholder management, representing the organisation externally including using the network of other National Governing Bodies to find synergies and efficiencies
• Support members of SLT to identify alternative funding sources and grants and assist with bids as appropriate
• Be prepared to ‘fill gaps’ and take on projects and/or support other staff members as necessary

PERSON SPECIFICATION/KEY SKILLS
Essential
• Graduate or graduate level with relevant experience
• Demonstrated ability in managing and motivating a multidisciplinary team
• Experience in risk management planning, monitoring and reporting
• Experience of working on or with Boards and Committees
• Understanding and experience of governance and compliance
• Understanding of the importance of setting and living by an agreed corporate culture, including HR and talent management including succession planning and professional development
• Able to work strategically without close supervision whilst being a key and supportive member of the Senior Leadership Team
• Able to manage a heavy and varied work programme, work to set priorities and achieve against targets
• An analytical, numerate and disciplined thinker who has the ability to think complex issues through and produce commercially sound judgments
• Excellent interpersonal skills include confidentiality, discretion and tact
• A committed and loyal individual, prepared to work the necessary hours
• Working knowledge of information technology and computer systems
• Project/programme management experience
Desirable
• Post graduate business or professional qualification
• Senior management experience including governance, administration, HR
• Experience/understanding of ethics and integrity matters in sport such as safeguarding and welfare
• Experience of working with volunteers
• Understanding of table tennis and/or UK sports landscape
• Understanding of commercial landscape and opportunities
• Recent experience of data protection legislation and implementation
